Team, roles and invitations

Updated October 22, 2026

Tracy uses three site roles: Owner, Editor and Viewer. Check the role on the particular site before inviting someone or asking them to make a change.

Which role should I choose?

Choose Viewer for someone who should review the site, comment and ask Tracy questions without changing it.

RoleWhat it allows
ViewerSee the site, its changes and its team; comment and ask Tracy about the site with read-only access.
EditorEverything a Viewer can do, plus change pages, design, code and settings, undo supported changes, publish, restore usable backups, and invite Viewers or Editors.
OwnerEverything an Editor can do, plus change roles, remove people, answer access requests, make another Owner, manage the custom domain, export, sync a supported imported site, and delete the site from Tracy.

Editor access includes code changes, publishing and restoring backups. Choose it only when the person should have those rights. Undo and restore have their own limits; access to those actions does not guarantee that every change can be recovered. Read Undo and backups.

Open the site’s “Team” tab to check members, roles and access status. You can also open “Team” from the site’s “More” menu in “My Sites”.

If this does not work: Reload the list and read the displayed error. If your role is insufficient, ask an Owner of that site to perform the action or change your role.

Who can invite people?

An Owner or Editor can invite people as Viewers or Editors on sites where the inviter has accepted access.

  1. Open the site’s “Team” tab and select “Invite member”.
  2. In “People”, enter the email addresses and choose Viewer or Editor.
  3. In “Sites”, check which sites the invitation covers. Only the current site is selected initially; you can select other sites where you have invitation rights.
  4. In “Review”, check the addresses, role and selected sites.
  5. Send the invitation and read the result for each person and site.

Everyone in the same invitation receives the same role on the same selected sites. Send separate invitations when people need different roles or sites.

If this does not work: Check every reported result. A refusal on one site does not mean every invitation failed. If no clear answer came back, check the team list before sending again, because some invitations may already have been recorded.

When does an invitation grant access?

A pending invitation does not grant access; the invited person must accept it first.

Open the invitation link and sign in with the invited email address. Alternatively, sign in to Tracy and use “Accept” on the pending invitation in “My Sites”. Use “Decline” if you do not want to join. After accepting, use “Leave site” if you later want to give up your access.

The invitation link works for 7 days and only for the invited email address. An expired link does not remove access that was already accepted.

If this does not work: If the page says the invitation was sent to someone else, switch to the invited account. If the link expired or was withdrawn, ask the sender for a new invitation. For a missing email, check Spam; the sender can also use “Copy invite link” to share the invitation directly. A copied link still requires the invited email address. If the sender sees that the email could not be sent, check the recorded invitation before retrying.

Can I invite someone directly as an Owner?

An Owner must promote someone from the Team list after that person has joined the site.

  1. Invite the person as a Viewer or Editor and wait for them to accept.
  2. As an Owner, open “Team” and use “Change role” on that member’s row.
  3. Choose Owner, review the permissions and confirm the change.

Only an Owner can change another member’s role or remove their access. The last Owner cannot be removed or demoted. Make another joined member an Owner first.

If this does not work: Confirm that the person has accepted and that you are an Owner of this site. If the row changed while you were confirming, read the refreshed list before trying again.

Who decides join and edit requests?

Only an Owner can approve or decline a request to join the site or a Viewer’s request for edit access.

If you reach a site’s access page without a seat, sign in and select “Request to join” when offered. This sends a request to the site’s Owners; it does not grant access. “My Sites” shows “Waiting for approval” while the request is pending.

For a join request, an Owner opens “Team”, selects “Approve”, chooses Viewer or Editor and confirms. Approval gives access immediately, without another invitation for the requester to accept. An Owner can instead select “Decline request”.

If you are already a Viewer, select “Ask for edit access” in the chat’s access notice. An Owner can approve or decline that request in “Team”. Approval makes you an Editor; declining keeps you a Viewer.

An Editor cannot approve a waiting join request by sending the requester an invitation.

If this does not work: Check whether another Owner already answered. Reload after signing back in if your session ended. If Tracy says no one manages the site yet, there is no Owner there to approve the request. Send unresolved access problems through Tracy Discord, without sharing passwords or invitation links publicly.

How do I remove someone or cancel an invitation?

As an Owner, open “Team” and choose the action for that person’s current status: “Revoke access” for a joined member, “Cancel invitation” for a pending invitation, or “Decline request” for a join request. Read the consequence and confirm.

Revoking a member removes their access to that site. Cancelling an invitation prevents that invitation from being accepted. These actions do not delete the website.

If this does not work: Check the refreshed status. A person may have accepted an invitation while your confirmation was open, so Tracy can refuse the old action rather than perform a different one. Use “Leave site” for your own access instead of trying to revoke yourself.

Does leaving a site delete it?

Leaving a site removes your own access to that site; it does not delete the website for the team.

In “My Sites”, open the site’s “More” menu and select “Leave site”, then confirm with “Leave the team”. A teammate with invitation rights can invite you back. The last Owner cannot leave until another member has become an Owner.

Deleting the site is a separate Owner-only action. It removes the Tracy copy, including its files, database, uploads and history, and revokes the team’s access. This cannot be undone. Download anything you need before deletion; see Export your site.

Deletion can leave cleanup incomplete. A repository Tracy did not create is left untouched, and a repository Tracy created may remain if GitHub does not confirm deletion. If the result is unknown, inspect “My Sites” before taking further action. If Tracy reports incomplete cleanup, send the site key and displayed details through Tracy Discord. Do not treat disappearance from the list as proof that every stored copy or record has been erased.

Does a seat mean a paid licence?

A seat means access to a site, not a billing unit.

Your site role describes your permissions on that site. Tracy is free during the beta. Share feedback through Tracy Discord.

How do agency workspaces relate to site teams?

The idea of an agency workspace is to group a team’s client sites so work across several sites can be organized together. Keep that separate from the permissions on an individual site’s team: agency workspace access does not by itself authorize changing that site’s roles or removing its members.

For a client who should only review and comment, choose Viewer on the relevant site. Read Tracy for agencies for the broader agency workflow.
